Privacy Policy

Quorom (“we,” “our,” or “us”) operates a meeting intelligence platform that helps teams capture and manage contact information from business meetings. This Privacy Policy explains what data we collect, how we use it, and the choices you have.

By using Quorom, you agree to the practices described here. If you do not agree, please discontinue use of the service.

1. Information We Collect

We collect information necessary to provide the service. This includes:

  • Account information: Your name, email address, and password when you create an account.
  • Meeting participant data: Names, email addresses, and job titles of people who attended meetings connected to your account, as provided by Zoom, Google Calendar, or Gong.
  • Meeting metadata: Meeting titles, dates, durations, and provider-assigned identifiers.
  • Transcripts: When enabled, we store transcript text from Zoom cloud recordings and Gong calls to support contact context features.
  • Capture records: When you trigger a contact capture, Quorom records that a capture occurred (a boolean flag and the email address at time of capture) along with any CRM identifiers (Salesforce contact ID, HubSpot contact ID). Phone numbers are not stored by Quorom — at the moment of capture, the number is passed directly from the data provider (e.g. LeadIQ) to your connected CRM. The CRM is the system of record for phone numbers.
  • Integration credentials: OAuth tokens and API credentials for connected services (Zoom, Google, Salesforce, Gong). These are stored encrypted and used only to access data on your behalf.
  • Usage data: Server logs, error reports, and basic analytics necessary to operate and improve the service.

2. How We Use Your Data

We use the information we collect to:

  • Identify external meeting attendees and deduplicate them into canonical contact records
  • Enable you and your team to capture phone numbers and CRM information through Claude
  • Write contact data to connected CRM systems on your instruction
  • Provide the dashboard and reporting features of the service
  • Authenticate you and maintain account security
  • Communicate service-related updates and respond to support requests
  • Detect and prevent abuse or unauthorized use

We do not sell your data, use it for advertising, or share it with third parties except as described in Section 3.

3. Third-Party Services

Quorom integrates with and relies on the following third-party services. Each has its own privacy policy that governs how they handle data.

  • Supabase: Our database and authentication provider. All user accounts, meeting records, and contact data are stored on Supabase infrastructure.
  • Zoom: Meeting participant lists and cloud recording transcripts are retrieved from Zoom via OAuth when you connect your Zoom account.
  • Google (Calendar API): Meeting attendee data is retrieved from Google Calendar when you connect your Google account. We request read-only calendar access.
  • Gong: Call participant data and transcripts are imported from Gong using API credentials you provide.
  • LeadIQ: Phone number lookups are performed through LeadIQ via Anthropic's Claude MCP system. We pass contact details to LeadIQ only when you explicitly request a lookup. LeadIQ's own privacy policy governs how they handle those requests.
  • Salesforce: Phone numbers and contact identifiers are written to Salesforce when you connect your Salesforce account and trigger a capture.
  • HubSpot: HubSpot contact IDs may be stored alongside capture records. Direct HubSpot writes are performed through the HubSpot MCP connector under your own authorization.
  • Vercel: Our application is hosted on Vercel. Network traffic and server-side request logs are processed by Vercel.

4. Data Ownership

You own your data. Meeting participant information, contact records, and captured phone numbers belong to you and your organization. We process this data only to provide the service to you. You may export or delete your data at any time by contacting us.

5. Data Retention

We retain your data for as long as your account is active. Specifically:

  • Meeting records and attendee data are retained indefinitely while your account is active.
  • Transcript data is retained as long as the associated meeting record exists.
  • OAuth tokens and API credentials are refreshed automatically and retained until you disconnect an integration.
  • On account deletion, all associated data is permanently removed within 30 days.

6. Security

We use industry-standard practices to protect your data, including encryption in transit (TLS) and at rest, access controls, and regular security reviews. OAuth tokens are stored encrypted. We do not store Gong API credentials in plaintext. No method of transmission over the internet is completely secure, and we cannot guarantee absolute security.

7. Your Rights

Depending on your location, you may have the following rights regarding your personal data:

  • Access — request a copy of the personal data we hold about you
  • Correction — request that inaccurate data be corrected
  • Deletion — request deletion of your personal data
  • Portability — request your data in a machine-readable format
  • Restriction — request that we limit how we process your data
  • Objection — object to processing based on legitimate interests

8. Children’s Privacy

Quorom is a business productivity tool intended for use by adults in a professional context. We do not knowingly collect data from children under 16. If you believe a child has provided us with personal data, please contact us at privacy@quorom.io.

9. Changes to This Policy

We may update this policy from time to time. When we do, we will update the “Last updated” date at the top of this page and, for material changes, notify you by email or in-app notice. Continued use of the service after changes take effect constitutes acceptance of the updated policy.
